How to Apply for Hosting SPP6

The steering committee of the SPP conference series is inviting candidatures for the organization of SPP6.

Interested candidates should send their application before May 16th, 2011 at 12:00 (Tokyo-Seoul time) to the steering committee at the following e-mail address : spp.steering@gmail.com (chair=Alain Dereux)

The application consists of a presentation in pdf format addressing the following points of their concept for hosting SPP6 :

1) Presentation of hosting group (should be active in SPP research)

2) Tentative date of SPP6 taking into account meteorology and occupation rate/costs of hotels according to season.

3) Conference Venue

  • Capacity in number of participants : 500 or more
  • Cost of conference rooms.
  • Video and acoustic devices.
  • Proximity of airport and significant number of relevant hotels.
  • Possibility of poster sessions.
  • Concept for lunches, coffee breaks.
  • Internet wireless connection free of charge (or included in conference fee) for all participants during the conference.

4) City

  • Public transportation facilities from hotels to conference venue.
  • Hotel rooms category capacity and prices (including lower prices for Ph D students).
  • Hints to touristic aspects.

5) Concept of time schedule of the conference

  • Time schedule for call for abstracts, abstract submission, registrations, ...
  • Proportion of invited talks, contributed talks, poster sessions, ...

6) Social events

  • Excursion.
  • Banquet.

7) Conference website + internet registration & payment

8) Budget Breakdown

  • Conference fee.
  • What does a participant get for her/his conference fee (coffee break, lunches, banquet, booklet of abstracts, drinks during poster session, wireless internet, more...) ?
  • Invited speakers and invited chairmen (at least : registrations waived).
  • Steering committee (5 persons, registrations waived).
  • Public and private sponsors.
  • Food & drinks.
  • Conference rooms.
  • Acoustic & video devices, laser pointers.
  • Poster panels and furnitures.
  • Poster prizes.
  • Conference booklet, badges, etc..
  • Conference website and internet payment.
  • Grants for some Ph D students and eligibility criteria.
  • Any other costs.

9) Any other relevant point

The three best applications will be invited to perform a 10 min presentation of their respective SPP6 hosting project to the steering committee (on Thursday, May 19th, 2011 late afernoon). For this hearing, the candidates are requested to bring 5 paper copies of their pdf slides and to be ready to answer to questions on their project.

The SPP6 conference location will be announced by the SPP5 chairman during the closing session of SPP5.
